User Guide

1. Getting Started

1.1 MoM Assistant

How It Works

Pamela✨ automates MoM creation through integration with Meemo, a meeting transcription service:

  1. You invite the Pamela✨ calendar account to your Google Calendar meeting.

  2. Pamela✨ automatically triggers Meemo to join and record the meeting.

  3. After the meeting, Meemo generates a transcription and summary.

  4. Pamela✨ creates a formatted MoM document in Google Docs.

  5. Pamela✨ shares the Google Docs file with edit access to the organizer of meeting.

  6. The organizer reviews the content.

  7. The organizer triggers the process via Catapa Chat by prompting (e.g., “Send an email with the content from Docs <document title> to all meeting participants.”)

  8. Pamela✨ distributes the MoM to all meeting attendees via email.

  9. You can later query past meeting information through CATAPA Chat.

Important: Pamela✨ does not join the meeting itself—only Meemo joins to record and transcribe.

Setting Up Automated MoM

Step 1: Create a Google Calendar meeting event as you normally would.

Step 2: Invite the Pamela✨ calendar account:

Step 3: Add all other meeting participants to the calendar invitation.

Step 4: Save the calendar event. Pamela✨ is now configured to process this meeting.

Important

  1. Invitation must be sent at least 5 minutes before the meeting starts. If you want to invite Pamela✨ less than 5 minutes before the start time or during the meeting, you can paste the meeting URL in Meemo platformarrow-up-right.

  2. Pamela✨ will join meetings 1–2 minutes before the start time. Ensure someone is in the meeting room to admit Pamela✨ into the meeting.

What Happens During and After the Meeting

During the Meeting:

  1. When the meeting starts, Meemo will automatically join the Google Meet session.

  2. Meemo will record and transcribe the entire meeting.

  3. All participants will see "Meemo" in the participant list.

After the Meeting:

  1. Meemo generates a transcription and summary.

  2. Pamela✨ retrieves the transcription data and attendee list from the calendar invitation.

  3. Pamela✨ creates a MoM document in Google Docs.

  4. Pamela✨ saves the document in the designated MoM folder in Google Drive.

  8. Pamela✨ sends an email to all attendees.

  9. All attendees receive the MoM.

4. Query by topic:

Important Notes:

  2. Pamela✨ can search by meeting title, date/time, participants, organizer, or topic.

  3. If multiple meetings match your query, Pamela✨ will list all relevant results.

Tips for Best Results

  1. Always invite Pamela✨ to calendar invitation so Meemo can automatically join the meeting.

  2. Include all participants in the calendar invitation so they receive the MoM distribution.

  3. Inform meeting participants that Meemo will join to record and transcribe.

  4. Review and edit the MoM document if needed—you have edit access.

  5. Use specific queries when searching past meetings for faster results.
